3.42 – Employee Use of College Resources and Space

A.    Purpose

To establish standards for the appropriate use of college resources and space.

B.    Policy

Employees will be judicious and responsible in their use of college resources and space.

C.    Procedures

College resources are for college business use only. Personal use of college resources is generally prohibited, though incidental and reasonable use may be acceptable if it does not affect the employee’s job performance. If an employee is unsure if their intended use of a college resource is appropriate, the employee should consult their supervisor.

If an employee damages or loses any college resource, the employee is expected to notify their supervisor. An employee may be required to pay for college resources that the employee is responsible for damaging or losing.

Generally, it is expected that college resources will be utilized on college property or when necessary to complete work off campus, while traveling, or working remotely. Employees are expected to obtain authorization before removing college resources from college property.

Personal information stored on the college’s computer network should not be considered private. This includes but is not limited to files, browsing history, emails or other college communication.

When an employee separates from the college, the individual is expected to return all college resources in their possession.

The college expects its employees to maintain a professional work area and to clean up after themselves in conference rooms, break areas, and other areas of the college.

Use of college resources and space in a manner that violates college policies is prohibited and can result in discipline, up to and including termination of employment.

D.    Definitions

College resources, include, but are not limited to, the following:

  • Computers (including network and software)
  • Email and other communication systems
  • Phone system/voicemail and/or cellphone
  • Files (electronic and manual)
  • Office supplies
  • Furniture, desks, chairs, etc.
  • Facilities, classrooms and labs
  • Tools, supplies, and equipment
  • Uniforms
  • Vehicles

E.    Authority

This policy is maintained under the authority of the chief human resources officer.
